Secretary - At the Meeting

During the meeting, the secretary should:

  1. Takes attendance
  2. Checks for quorum
    • Bylaws Article IX, Section 2 specifies what quorum is for your PTA
  3. Presents the draft of the minutes of the previous meeting
    • See the Minutes sub-page for what should be included in the minutes and sample minutes
  4. Takes minutes
  5. Counts votes

The secretary should have these items on hand at all meetings:

  1. Minutes of the previous meeting and pertinent attached report
  2. List of unfinished business to be discussed
  3. Agenda
  4. Current bylaws and standing rules
  5. Current membership list
  6. List of committee chairs
  7. Materials for note/minute taking
