What is a prefunded spending card?
-
Pre-funded Spending Cards allow your PTA/PTSA to provide board members the option to pay for items directly from the PTA using a credit card type spending card.
-
The pre-funded spending cards have limited funds available and a certain time frame to be used. They are linked directly to your PTA/PTSA checking account and follow your budget.
-
DEBIT or CREDIT CARDS are STILL NOT ALLOWED.
What to do first?
-
Your PTA may use this type of E-Commerce banking after it has been approved by your membership and your budget is approved. Your PTA must have liability and bonding insurance.
Then...
-
Your PTA will still maintain a budget and checking account as per best practices. That means your treasurer will still keep the books/records and give monthly treasurer reports.
-
Each card holder must sign the Prefunded Spending Card Agreement, Conflict of Interest Policy and Basic Fiscal Management Policy.
-
Each card holder needs to remember to turn in receipts including electronic/pictures if required by service your PTA is using.
Below, you will find a E-Commerce Information page and the Prefunded Spending Card Agreement. Each person on your PTA board that will use a card needs to read this and sign the agreement. The form to turn in receipts is also below (similar to the reimbursement form).
